Accounts, online RSVPs, and email signup are not available yet. The sections below explain how those features will work when enabled; browsing the site does not create an account or subscribe you.
Flathead AI Meetup brings people together to learn and build with AI in the Flathead Valley. Lightbulb Moment Labs, Inc. ("we," "us") operates flatheadaimeetup.com. This policy explains how we handle personal information through the website, including accounts, event registration, and email subscriptions. It does not cover information collected independently by event partners through their own services.
Information we collect
- Account information: your name, email address, account identifier, and authentication records. If you sign in with Google, we receive basic profile information, which may include your name and profile photo, email address, and Google account identifier. We do not receive your Google password or request access to Gmail, Drive, contacts, or calendars.
- Event information: events you register for, registration and cancellation status, and related communications.
- Email preferences: your newsletter email address, consent record, and unsubscribe status.
- Messages: information you choose to send when contacting the team. Please do not send passwords, payment information, or sensitive personal information.
- Technical information: our hosting and authentication services may process IP addresses, browser/device information, timestamps, and security/error logs to deliver and protect the service.
How we use information
We use this information to sign you in, manage your account and reservations, enforce event capacity, send registration confirmations and important event updates, respond to requests, and maintain a secure and reliable website.
We send newsletters and announcements when you choose to subscribe. Creating an account or reserving a seat does not automatically subscribe you. We do not use your account or registration information to train AI models, sell personal information, or use it for targeted advertising.
Google sign-in
We use Google-provided information only for the account and registration functions explained above. Our handling and transfer of Google user data follows the Google API Services User Data Policy, including applicable Limited Use requirements. We do not use this information for advertising or AI-model training.
You can remove our access through your Google Account's third-party connections settings. Removing access is separate from deleting your Flathead AI Meetup account or cancelling a reservation; contact us for help with those requests.
Who can access information
Authorized organizers can access attendee names, email addresses, and registration details to manage events. Attendee lists are not public.
We use service providers to operate the site: Supabase for authentication and data storage, Google for optional Google sign-in, DigitalOcean for hosting, and NitroSend for event emails and optional newsletters when those email features are enabled. Sign-in emails may use an additional email delivery provider, which we will identify before enabling that service. Providers receive information needed for their functions and handle it under their applicable agreements and policies.
Our partnerships with WIEC and the Stanford d.school do not automatically give those organizations access to attendee or subscriber lists. If a partner representative is an authorized organizer, they may access information needed to manage events. We do not provide lists for partners' independent marketing without separate permission.
We may disclose information when legally required, to respond to valid legal process, or as reasonably necessary to protect people, rights, and the security of the service.
Retention and security
We retain information while needed to provide accounts, administer events, honor communication preferences, maintain security, or meet legal obligations. When those purposes no longer apply, we delete or de-identify it. Deletion from backups follows the applicable backup retention cycle. We may retain a minimal unsubscribe record to prevent unwanted newsletters.
We use reasonable safeguards and restrict access to authorized people and providers, but no internet service can guarantee absolute security. Providers may process information outside your state or country, subject to their applicable safeguards.
Your choices and requests
You can cancel your reservations through your account when that feature is available, unsubscribe using the link in newsletter emails, and contact [email protected] to request access, correction, export, or deletion of your information. We may verify your identity before acting. Depending on your location, you may have additional privacy rights; we will handle requests as required by applicable law.
Unsubscribing from newsletters does not stop essential account or event messages related to an active reservation. Deleting an account may require cancelling upcoming reservations. We will explain any information we must retain and why.
Age requirements
Online accounts and registration are intended for people 16 and older. We do not knowingly collect personal information from people under 16 through these features. Contact us if you believe someone under 16 has provided information so we can review and remove it as appropriate. Event-specific attendance requirements may differ; contact the organizers about any requirements for participants under 18 or attendance arrangements for someone under 16.
Updates and contact
We will update the effective date when this policy changes and provide additional notice of material changes when appropriate or required. Changes will not retroactively authorize unrelated uses that require your consent.
